Kanban Dashboard

Context

I find jobs get easily lost and rely heavily on self-imposed systems to maintain order and not miss items/bookings etc.

The workarounds such as queues are not permanent and don’t include jobs set to complete, which is a requirement for the job to send invoice to xero and track payment etc.

Checklists still require you to go into the job to see what is done/needs to be done and the task section only shows things you assign which again involves me having to self-impose systems.

Sure, service mate works well for the mid-large business which is well organised, however it is a messy black hole for new start-ups and sole traders.

The current system is an absolute nightmare for anyone with ADHD, which is probably 90% of your customer base.

Pain points

  • I constantly have to look at jobs to see where they currently sit
  • wasted time
  • confusing
  • missed materials/ancillary trade bookings
  • no broad overview of all jobs in one spot

Fix - gold standard

Implement a Kanban style dashboard tab adjacent to the staff schedule tab

Features

  • Shows ALL jobs set to Quote, Work Order and Completed
  • Separate tab for Unsuccessful for cold quote reactivation in the future
  • Editable stages
  • a couple of styles or editable style
  • click and drag functionality to move jobs through stages
  • Editable reminder timeframes for different stages
  • accessible on at least tablet and desktop

Fix - Temp solution

Enable integration with Mirro (Mirro is preferable as its free for this use case)

Hi Admin PPC,

A Kanban-style job dashboard like this is product feedback rather than something covered by the current documented job-management workflow, and the documented way to submit a feature or improvement request is to send it to support@servicem8.com with the underlying challenge you want to solve. ServiceM8 product feedback is read, analysed and categorised by our team, but we generally won’t comment on if or when a requested feature may be released.

For the closest current in-product overview, Job Filters can show smart lists, jobs in Queues, staff jobs and custom filtered job lists, and custom filters can be created using job statuses, scheduling options, categories and Queues. Action Required gives a business-wide view of jobs that need attention, including unscheduled jobs, expired Queue jobs and client replies awaiting a response. Queues can be used for temporary hold stages like waiting for quote approval or parts, including drag and drop on the Dispatch Board and queue expiry prompts, but jobs are automatically removed from queues if they’re scheduled or if the job status changes to Completed or Unsuccessful.

For a third-party board workaround, our published guidance is that where a native integration isn’t available for a platform, the usual paths are Zapier, n8n, another automation platform, or a custom integration using the ServiceM8 API. Zapier supports ServiceM8 triggers such as New job, New client and ServiceM8 form completed, plus ServiceM8 actions such as Create job and Create client, so whether it can support a Miro/Mirro-style board depends on what that external app and the automation platform can do. The ServiceM8 REST API is also available for developers to connect ServiceM8 to third-party applications, including resources like Job and JobActivity.

Send this through to support@servicem8.com as a feature request with your ideal column/stage names and the reminder rules you’d want applied.

Thanks,
Cody
